KashFlow: Sync quotes and unpaid invoices

As well as paid invoices, it would be great to see unpaid invoices and quotes in KashFlow. The invoices are more important than the quotes. At the moment on my KashFlow dashboard, I see £x outstanding etc. when in reality it's totally different because of the WHMCS figures that haven't come across?

I totally agree. Currently Kashflow doesn't give a true projection since unpaid invoices are not present. Also, at the moment if you do quarterly VAT returns from Kashflow, it means you are not sending HMRC the correct VAT breakdowns for created invoices. HMRC needs invoice details irrespective of if they are paid or not.

Hello !

If only paid invoices are imported then kashflow account receivables are useless, hence the whole accounting will never be accurate, right?

I already tried asking them about this but they referred me to WHMCS since you are the developers of the plugin.

This is completely necessary otherwise one cannot get useful information out kashflow!

I'm actually closing my kashflow account, it's completely useless this way. Let me know when this is implemented.

Maybe it wasn't such a good idea that whmcs developed the plugin themselves, now either part wants to commit.

Hi I am aware that the way the Kashflow module currently works is as designed - sending details of invoices only once paid. As staff at Kashflow and many other users have pointed out however, this makes Kashflow significantly less useful than it should be. It cannot, for example, produce a monthly P+L statement for my business because Kashflow doesn't know about three quarters of the invoices issued in the previous month.I imagine this is because WHMCS is designed as a hosting package and expects sums to be taken directly from the client's card - but we do lots of development work with the hosting making up just a fragment of my business - the rest of the invoicing takes place on standard 30 day terms. Furthermore, many of my clients pay for their hosting quarterly by invoice - so Kashlow often knows nothing of their business until some 60 days.In short, I run a *very typical business* and this shortcoming means that Kashflow has to perform in a highly atypical fashion.This means to get some idea of how my business is performing I need to produce manual records from both WHMCS and Kashflow and merge them. A process which takes hours when it should take seconds.This is becoming a critical issue for me (and, from your feature request pages, others). It is a development I would certainly consider paying for. There has been no response from any WHMCS staff on the feature request pages - which seems discourteous to me at the very least. So please could you let me know:a) If there are any plans to add this function as an option in the Kashflow integration moduleb) If not, there there be any means of paying a developer to finish the integration module to a standard your users wantc) if not, is there any other means of integrating the two services in a fashion that matches my (and others') requirements.

i am considering developing a better Kashflow-WHMCS sync module.

What kind of money would people be prepared to pay for this addon and what are the main features

From my use, what I need is:

1. Update clients details in Kashflow when they are updated in WHMCS. Currently if the email address changes, it breaks the sync process

2. Post ALL invoices each night to kashflow

3. Update all invoices with any relevant transactions, including any auth code/transaction ID each night.

What else is wanted?

That is a great idea, as the current module is basically completely unusable for our company.

The actual important features:

  • post using paid invoice numbers (NOT invoice ID) when using proforma mode
  • match clients via client code (kashflow has a client code field) not email/id. So perhaps this could be done using a custom field?
  • daily cron (I believe this works in the current mdule)
  • post to kashflow using nominal codes as opposed to just plain text

and a few more things, but these are the main reasons we can't use the integration AT ALL. It actually creates more manual work fixing/updating records than doing by hand. I really don't see the point of the current plugin.

as for what kind of money - depends on how well it works and wether its open source etc.

After getting a couple of development quotes in from a few module developers to develop an actual WHMCS - Kashflow module that is worth installing we have decided to migrate our company to Xero. It turned out to be the most cost effective for us right now. The existing plugin is beyond waste of time and the ones that work are all for Xero. So hopefully our migration will go well :) The other alternative was considering other billing software and that was also looking extremely appealing.

Yeah I totally agree - it's such a pain. How are you migrating across from KashFlow to Xero? Is it easy?

We are about to start the process. Not a big deal really. We had a developer quote for a proper Kashflow <> WHMCS plugin and it came in at around 2K Eur for a basic sync plugin. That was excluding nominal codes, quotes etc. just invoice, customer and payment sync (2-way). So after considering other options we decided to switch to Xero as it has many other useful integrations we are looking forward to use that Kashflow doesn't have. A pain but ultimately the best thing for us to do right now. Billing software is going to be harder to switch but only because of its provisioning part. Mind you - we have 2 extremely interesting proposals on the table and it's not looking that hard or expensive anymore. And on another plus side both offers seem to have a bunch of features that could potentially give us a big competitive advantage over the current offer we have and without a mountain of 3rd party plugins ;)

It all boils down to this - no point trying to bend a product that very obviously does not want to bend. The proof is publicly available. And the solution - go for a product that does bend even though you might have a sentimental attachment and pre-invested time with it. Cut the losses and/or write it off as a valuable lesson/research process in narrowing down what your business really needs.
